Terms and Conditions

HLUN 2026 & Indonesia Active Ageing Summit 2026

"The Event" refers to the Puncak Hari Lanjut Usia Nasional (HLUN) ke-30 & Indonesia Active Ageing Summit 2026, including all related conferences, exhibitions, panel discussions, presentations, public festival activities, health services, networking sessions, and supporting programs held on 12-13 June 2026 at RS PON Prof. Dr. dr. Mahar Mardjono, Cawang, Jakarta.

"Organizer" refers to MSW Global in collaboration with the Ministry of Health of the Republic of Indonesia and RS PON Prof. Dr. dr. Mahar Mardjono.

"Delegate", "Sponsor", "Exhibitor", and "Participant" refer to any individual, institution, organization, company, or representative registered to attend or participate in The Event.


1. Application as a Delegate / Sponsor / Exhibitor

Submission of the registration form shall constitute the Delegate's acceptance of these Terms and Conditions. Registration shall only be considered complete once the Organizer has received both the completed registration form and full payment (if applicable).

The Organizer reserves the right to accept or reject any application at its discretion and will notify the applicant accordingly.

Each participating organization must appoint one primary contact person responsible for all event-related administration and communication.


2. Event Dates & Operating Hours

Venue: RS PON Prof. Dr. dr. Mahar Mardjono, Cawang, Jakarta

Event Dates: 12 - 13 June 2026

Day 1 - B2B Conference

Date: Friday, 12 June 2026

Operational Hours: 08:00 - 17:00 WIB

Day 2 - Public Festival & HLUN Summit

Date: Saturday, 13 June 2026

Operational Hours: 06:30 - 16:00 WIB


3. Exhibition Booth Setup

Booth setup schedule and technical guidelines will be communicated separately by the Organizer. Exhibitors are required to complete setup within the designated period determined by the Organizer.

All booths must remain staffed and operational during official exhibition hours. Exhibitors are only permitted to operate within their allocated exhibition space.


4. Speakers & Presentation Materials

Speakers and participating organizations must submit presentation topics and technical requirements no later than 30 days before the event.

Final presentation materials must be submitted to the Organizer no later than 7 days before the scheduled session.

The Organizer reserves the right to modify session schedules, speaker arrangements, presentation durations, or venue layouts when necessary.


5. Submission & Payment Deadline

All registration forms and sponsorship/exhibition confirmations must be submitted before the deadline stated in the official proposal, invoice, or agreement issued by the Organizer.

Full payment must be completed before the event date unless otherwise agreed in writing by the Organizer.


6. Allocation and Use of Exhibition Space

  • Booth allocation shall be determined by the Organizer.
  • The Organizer reserves the right to alter exhibition layouts and allocated spaces in the overall interest of The Event.
  • Delegates may not assign, sublet, share, or transfer allocated booth spaces without prior written approval from the Organizer.
  • All promotional and exhibition activities must remain within the allocated booth space.
  • Exhibitors may only occupy exhibition space after full payment has been received.
  • Failure to complete payment may result in cancellation of participation without liability to the Organizer.

7. Cancellation Policy

  • Any cancellation by the Delegate must be submitted in writing to the Organizer.
  • Payments already made may be non-refundable depending on the timing of cancellation.
  • The Delegate shall remain responsible for any third-party costs incurred due to cancellation.
  • The Organizer reserves the right to terminate participation if payment obligations are not fulfilled.
  • The Organizer reserves the right to postpone, modify, or cancel The Event due to circumstances beyond reasonable control.

8. Transport and Storage of Exhibition Materials

  • Delegates are fully responsible for transportation, delivery, storage, installation, and removal of all exhibition materials and equipment.
  • Delegates shall arrange their own insurance coverage for all exhibition items and personal belongings.
  • All materials must be removed within the dismantling period designated by the Organizer.
  • Delegates are responsible for complying with all applicable customs, tax, import, and export regulations.

9. Changes to Program, Speakers, Dates, or Venue

The Organizer reserves the right to revise the event program, session schedules, speakers, activities, venue arrangements, or event dates if necessary.


10. Force Majeure

The Organizer shall not be held liable for any delay, interruption, modification, or cancellation of The Event arising from circumstances beyond its reasonable control, including but not limited to natural disasters, fire, flood, epidemic, pandemic, war, terrorism, labor disputes, governmental regulations, or other force majeure events.


11. Compliance and Security

Delegates agree to comply with all applicable laws, venue regulations, safety requirements, and Organizer policies during participation in The Event.


12. Fire Prevention and Venue Regulations

All exhibition materials, booth structures, electrical equipment, and decorative items must comply with applicable fire safety and building regulations imposed by the venue and authorities.


13. Delegate Passes and Access

Official delegate badges issued by the Organizer must be worn at all times during The Event.


14. Noise Level and Promotional Activities

Activities or displays that create excessive noise, obstruction, disturbance, or disruption to other participants are prohibited.


15. Indemnity and Limitation of Liability

Indemnity

Delegates agree to indemnify and hold harmless the Organizer, venue, partners, and affiliated parties against any claims, losses, damages, liabilities, or expenses arising directly or indirectly from their participation in The Event.

Limitation of Liability

The Organizer shall not be liable for loss, theft, injury, or damage to persons, property, equipment, or materials during The Event.


16. Venue and Venue Property

Delegates shall take reasonable precautions to prevent damage to the venue and its facilities.


17. Refusal of Admission

The Organizer reserves the right to refuse admission to, or remove from, The Event any person whose conduct is deemed inappropriate, unsafe, disruptive, or contrary to the interests of The Event.


18. Breach of Agreement

Failure by the Delegate to comply with these Terms and Conditions may result in termination of participation without refund.


19. Photography, Videography, and Media Release

By attending The Event, Delegates consent to being photographed, filmed, or recorded during event activities.


20. Interpretation, Governing Law, and Jurisdiction

Interpretation of these Terms and Conditions shall rest solely with the Organizer.

These Terms and Conditions shall be governed by and construed in accordance with the laws of the Republic of Indonesia.

Any disputes arising in connection with The Event shall be subject to the exclusive jurisdiction of the Indonesian courts.
